The short version

  • Your practice provides your care and is responsible for it. RunPractice provides the booking page, portal, messages, video visits and AI assistants your practice uses.
  • Don’t use messages, the portal or AI assistants for emergencies. Call 911.
  • Some replies come from AI assistants. They don’t diagnose or treat you, clinical questions go to your practice’s team, and you can always ask for a person.
  • A visit is recorded for note-taking only if you agree.
  • Your practice’s Notice of Privacy Practices and our Privacy Policy explain how your information is handled.

1 About these terms

These terms apply when you use a booking page, patient portal, text or email messages, video visits, payment pages or AI assistants (together, the “services”) that a practice provides through Run Practice Inc., a Delaware corporation (“RunPractice,” “we,” “us”), 425 Madison Avenue, Floor 14, New York, NY 10017. By using the services, you agree to these terms.

Your practice may have its own terms and policies, and they apply too. Your practice’s policies govern your care, fees and appointments.

If you use the services for someone else, for example as a parent, guardian or caregiver, you confirm that you’re allowed to, and these terms apply to you both.

2 Not for emergencies

Call 911 in an emergency.

If you think you have a medical emergency, call 911 or go to the nearest emergency room. If you’re in crisis, call or text 988. Don’t use messages, the portal or AI assistants for urgent needs.

Messages may not be read right away. How quickly your practice replies depends on its hours and policies.

3 Your practice provides your care

Your practitioners make every clinical decision. RunPractice doesn’t provide medical advice, diagnosis or treatment. Results, care plans, notes and instructions in your portal come from your practice. If you have questions about them, ask your practice.

4 AI assistants

Your practice may use AI assistants to answer calls and messages, help you book, remind you about forms, prepare you for a visit, or check in afterward. They follow your practice’s instructions and use the information it gives them.

  • AI assistants can make mistakes, and they don’t diagnose or treat.
  • Clinical questions are passed to your practice’s team.
  • You can ask to talk to a person at any time.
  • Messages written by AI are labeled as such where the law requires.

5 Recording and visit notes

Your practice may ask to record a visit so that AI Scribe can draft the visit notes. Recording starts only after you agree, and you can say no. Your practitioner reviews and approves the notes before they become part of your record.

Your practice may also record or transcribe calls answered by its AI assistant and will tell you when it does.

6 Your account and identity

  • Give accurate information and keep it up to date.
  • Keep your sign-in details and verification codes private, and tell your practice if you think someone else has used your account.
  • We may ask you to verify your identity, for example with a code sent to your email or phone, before showing your information or changing appointments.
  • Your practice decides who may access your information on your behalf.

7 Appointments, forms and signatures

Booking, rescheduling and cancelling follow your practice’s policies, including any cancellation or no-show fees it tells you about. Forms and consents come from your practice. When you sign electronically, your electronic signature has the same effect as a handwritten one.

8 Payments

  • Card payments are processed by Stripe. Your card details go directly to Stripe and aren’t stored by your practice or by RunPractice.
  • Prices, charges, refunds and memberships are set by your practice. Contact it with billing questions.
  • Receipts and superbills are available in your portal.
  • In New York, your practice gives you a notice about paying medical bills by credit card before you pay by card.

9 Texts, emails and calls

If you agree, your practice will text you about appointments, forms, payments and follow-up. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, or HELP for help. The SMS Terms of Service have the details.

Texts and emails are designed to leave out detailed health information and link to your portal instead.

10 Your privacy

Your practice decides how your health information is used and shared, and its Notice of Privacy Practices explains your rights. RunPractice processes your information only on your practice’s behalf. Our Privacy Policy explains our role. For requests about your records, contact your practice.

11 Using the services fairly

Don’t:

  • access or try to access anyone else’s information;
  • share your account or let others use it;
  • upload harmful files or anything you don’t have the right to share;
  • misuse AI assistants, for example by trying to get other patients’ information or harmful content from them;
  • harass or threaten practice staff; or
  • use the services for anything unlawful.

Your practice or RunPractice may suspend access to protect patients, staff or the services.

12 Disclaimers and liability

The services are provided “as is” and may sometimes be unavailable. To the extent the law allows, RunPractice isn’t liable for indirect or consequential damages arising from your use of the services.

Nothing in these terms limits your practice’s professional responsibilities to you or any rights you have under laws that can’t be waived.

13 Changes, law and contact

We may update these terms. The date at the top shows the current version, and we’ll show material changes in the portal before they take effect.

The laws of the State of New York govern these terms, except where the laws of the state where you live give you protections that can’t be waived.

For care, appointments and billing, contact your practice. For technical or privacy questions, contact RunPractice at [email protected].
